Phone2Quote includes generous AI usage to keep your quotes fast, your calls answered, and your follow-ups running smoothly. Almost all small trade businesses operate well within these limits.

This Fair Use Policy exists so we can deliver the same high level of service to every customer.

1. What’s Included

Your Phone2Quote subscription includes:

- AI call handling

- AI-powered follow-up messages

- AI quote preparation

- AI workflow actions (summaries, tone changes, info extraction)

We cover up to £100/month of AI usage within your £395/month plan.

Most customers use £30–£70/month, so this is more than enough.

2. What Counts as Fair Use

You are within Fair Use if your business:

- Handles up to 300 answered calls per month

- Sends up to 500 AI-generated messages per month

- Uses standard Phone2Quote workflows

- Keeps AI call duration under 2 minutes on average

If you operate as a typical small trade business (1–5 installers), you will naturally fall inside these ranges.

3. What Happens if You Go Over

If AI usage exceeds the monthly allowance, we simply:

- Notify you

- Share a usage snapshot

- Add the extra at cost price to your next invoice

- (usually £10–£60 if exceeded)

There are no penalties, no disruption to service, and no surprises.

4. Why We Use Fair Use

AI can scale with your business, but extremely high usage (e.g., large call centres, multi-branch operations, or unusually long calls) impacts system performance and costs.

This policy ensures:

5. Heavy Usage & Upgrade Path

If your business regularly exceeds Fair Use limits, we’ll recommend upgrading to Phone2Quote Premium, which includes:

- Higher AI usage allowance

- Advanced call flows

- AI job triage (optional)

- Multi-team routing (optional)

- Priority support

No locked-in contracts — you can upgrade or downgrade any time.

6. No Unexpected Bills

- We never charge without notifying you first.

- We never stop service if you exceed usage.

- We never penalise you for being busy.

We simply work with you to keep your costs predictable and your quoting fast.
